Zoom Breakout Rooms
How to Configure, Join and Leave
This page shows you how to configure, assign and run Zoom Breakout meeting rooms.
The idea is quite straightforward. If you are in a Zoom meeting with multiple participants, and at some point you need to break into small groups to discuss something, Zoom has a feature called ‘Zoom Breakout Rooms’ that you can use to accomplish this virtually.
There are 2 aspects to this. What the hosts sees (on the left) and what the participants sees (on the right):
Host Config*
As a host you need to configure the meeting room settings for your account. The setting you need it shown to the right (in the ‘on’ state). You will know that you have this correct when you join your next meeting as you will have a new option in the footer menu area
You will know that you have this correct when you join your next meeting as you will have a new option in the footer menu area “Breakout Rooms”
*Host only. Participants do not need to do anything here with their setup

Assigning Participants to a room
To assign participants to a room wait until they have joined and then select “Breakout Rooms” from your menu. With the dialog below you can click on each participant and then assign them to the correct room, or you can assign automatically.

Being Assigned to a room
When the host starts a breakout you will be invited to join an assigned room. You should accept this when you are ready

Messaging All and Closing
As a Host you can message every participant in every breakout room. This is particularly useful to guide breakout session pacing and also to advise participants that a breakout is about to close.
When you initiate the end of a breakout participants will be given between 60s and 2 minutes to close (configurable by you). They will then automatically re-joined to the main Zoom meeting

Messages and Closing
The Host may message all of you during a breakout session. An example of this appears below. You will most likely get one of these near the end of the session to allow you time to complete any tasks and prepare to rejoin the main Zoom Meeting. When the end is triggered by the Host you will see the popover message as below asking you to rejoin the main meeting.
